1. Purpose of Policy

This Registration Policy establishes binding terms and conditions that govern enrollment in all training programs delivered by the consultancy. The purpose is to ensure consistent administrative practices, protect the interests of all parties, clarify participant responsibilities, and support the effective, equitable delivery of professional training services throughout Minnesota. Submission of a registration constitutes full acceptance of this policy.

2. Eligibility for Registration

  1. Registration is open to individuals aged 18 or older, unless a program explicitly states otherwise. Individuals under 18 may register for related programs such as youth or family programs with written parental or legal guardian consent.

  2. Certain courses may require prior knowledge, professional experience, or prerequisite training. These requirements will be communicated in advance and must be met for acceptance.

  3. Organizations registering employees are responsible for verifying that their participants meet all stated requirements.

  4. The consultancy reserves the right to reject or cancel any registration that contains false information, violates stated eligibility standards, or presents a risk to program integrity or participant safety.

3. Registration Process

  1. Registrations must be submitted using the official registration form (online or paper). Incomplete or inaccurate forms may delay enrollment.

  2. A registration is considered provisional until full payment or an approved purchase order is received; only then is a seat confirmed.

  3. Upon confirmation, participants will receive written communication containing course logistics, schedules, preparatory requirements, and relevant policies.

  4. Registrations are processed in the order received. Courses may close early if capacity is reached.

  5. By registering, participants agree to abide by all training protocols, participation standards, and course expectations.

4. Payment Policy

  1. Payment is due at the time of registration, unless alternative arrangements are approved in writing.

  2. Accepted payment methods include credit/debit card, ACH, check, or authorized organizational purchase order.

  3. All invoices must be paid within 15 calendar days of issuance or prior to the course start date, whichever occurs first.

  4. Overdue accounts may result in withdrawal of registration, denial of course access, or delay in certificate issuance.

  5. Returned checks, chargebacks, or failed electronic payments will incur a $25 administrative fee.

  6. Discounts, group rates, or promotional pricing must be approved in advance and cannot be applied retroactively.

5. Cancellation & Refund Policy

Participant-Initiated Cancellations:

  1. 14+ days before course start: Eligible for a full refund or full training credit.

  2. 7–13 days before course start: Eligible for a 50% refund or 100% training credit.

  3. Less than 7 days: No refund; partial credit may be granted only in exceptional circumstances.

  4. No-shows: Not eligible for refund or credit.

  5. Provider-Initiated Cancellations:

  6. If a course is cancelled or rescheduled due to low enrollment, facilitator unavailability, severe weather, or emergency, participants may choose a full refund, transfer, or training credit.

  7. The consultancy is not liable for travel or personal expenses.

Withdrawal Policy 

Voluntary Withdrawal: 

  1. Withdrawal requests must be submitted in writing via email. 

  2. Effective on the date received by the consultancy. 

  3. Verbal withdrawal requests are not accepted. 

Financial Implications: 

  1. Refunds or credits follow Section 5. 

  2. After course begins: no refunds; partial credit may be considered for emergencies. 

Impact on Certification: 

  1. Withdrawing participants are not eligible for certificates. 

Organizational Sponsorships: 

  1. Employers may substitute participants per Section 6. 

Re-Enrollment After Withdrawal: 

  1. Withdrawn participants may re-enroll by submitting a new registration. 

Withdrawal for Non-Compliance: 

  1. Consultancy may withdraw participants for conduct violations, non-payment, or non-compliance. 

  2. Administrative withdrawals receive no refunds.

6. Substitutions & Transfers

  1. Organizations may substitute one participant for another at no charge up to 48 hours before the course.

  2. Requests to transfer to a different course date must be submitted in writing at least 7 days before the original session.

  3. Each registration includes one complimentary transfer; additional transfers may incur a $25 fee.

  4. Transfers requested after the 7-day window are subject to cancellation terms.

7. Attendance Requirements

  1. Participants must attend a minimum of 90% of scheduled instructional time to qualify for certificates.

  2. Excessive lateness or early departure may result in denied certification.

  3. Virtual participants must remain engaged; camera-on participation may be required.

  4. Make-up sessions may involve extra fees and are not guaranteed.

8. Course Materials & Intellectual Property

  1. All training materials are the exclusive intellectual property of the consultancy.

  2. Materials are for personal learning or approved internal use only.

  3. Participants may not reproduce, share, or distribute materials without permission.

  4. Recording any portion of the training is prohibited.

9. Data Protection & Privacy

  1. Personal information is collected for registration, communication, billing, and certification.

  2. Data is stored securely according to Minnesota privacy expectations.

  3. Information may be shared only with essential service providers or as required by law.

  4. Participants may request correction or deletion of their data after completion.

  5. Data is never sold or used for unauthorized purposes.

10. Health, Safety & Accessibility

  1. All in-person venues meet Minnesota health, safety, and accessibility regulations.

  2. ADA accommodation requests must be submitted at least 7 days before the training.

  3. Ill participants should not attend in-person sessions; virtual alternatives may be considered.

  4. Participants must follow all safety procedures provided.

11. Code of Conduct

  1. Participants must behave professionally and respectfully.

  2. Harassment, discrimination, threats, or disruptive behavior result in immediate removal without refund.

  3. Participants must comply with facilitator instructions and course rules.

  4. The consultancy may decline future registrations for policy violations.

12. Liability Waiver

  1. Participants assume responsibility for their own safety and belongings.

  2. The consultancy is not liable for injuries, illness, or property loss unless due to negligence.

  3. Sensitive topics may be discussed; confidentiality is expected.

  4. Safety guidelines must be followed during experiential activities.

13. Certificate Issuance

  1. Certificates are issued only upon completion of attendance and participation requirements.

  2. Certificates are issued within 3–7 business days after the course.

  3. Corrections or replacements may incur a $10 fee.

  4. Certificates reflect official course details.

14. Governing Law

  1. This policy is governed by the laws of the State of Minnesota.

  2. Disputes will be resolved under Minnesota jurisdiction.

  3. If any provision is invalid, the remainder stays in effect.
